Records Request Process

The Board of Directors has implemented this policy in order to establish the procedure in which a member may request to view or receive copies of TFBC records.

Requests are to be made in writing and mailed to:

MEMBERS ARE TO INCLUDE THEIR PHONE NUMBER, TFBC STREET ADDRESS AND MAILING ADDRESS (IF DIFFERENT THAN STREET ADDRESS) IN THE REQUEST.

The Secretary will present the request to the Board of Directors.  Once the Board establishes that the person making the request is a member owner of TFBC or the member’s authorized agent, the Secretary will be instructed to send a letter to the member inviting the member to attend the next Board of Directors monthly meeting in order to view the document(s).  If the document(s) are of such length that the member cannot finish viewing the document(s) within the timeframe of the Board meeting, the member should attend subsequent Board meetings to finish viewing the document(s).

If the member is requesting copies of the document(s), the following fee schedule will apply:

Under 10 pages: Free

11 Pages or more: $25 clerical fee and $.25 per page

If the document(s) are to be mailed, postage will also be added.

The Secretary will count the number of pages to be copied and if it is more than 10 pages, will contact the member to inform them of the amount to be paid.  Once payment is received, the Secretary will notify the member that the document(s) can either be picked up or mailed.
